Amazing AI Tools provides AI products, hosted software, custom development, managed services, and commercial messaging integrations. This Privacy Policy explains how we collect, use, store, share, and delete personal data when you use our website, contact us, or use products and services such as BugZero, Amazing Chat, and Meet.

This policy also covers business conversations through WhatsApp, Instagram, Facebook, and other Meta products. Those services remain subject to Meta and WhatsApp terms and privacy notices when you use them.

For business customers, Amazing AI Tools may act as a service provider, processor, or similar role for personal data submitted by a customer, workspace, widget, integration, or meeting. The customer remains responsible for giving notices, choosing product settings, and obtaining required permissions or consents from its own users, employees, contractors, customers, and meeting participants.

When we process customer content for a business customer, the applicable customer agreement, order form, statement of work, data processing agreement, or product configuration may define additional privacy roles and responsibilities.

2. Personal data we collect

Website, forms, sales, and support: name, email address, phone number, company, role, project details, message content, support requests, billing or contract details, IP address, device and browser data, pages visited, approximate location derived from technical data, timestamps, and communication preferences.

BugZero: reporter name and email if provided, bug descriptions, screenshots, screen recordings, attachments, app URL, page title, browser, device, operating system, viewport, session context, issue status, severity, comments, triage metadata, and logs or diagnostic details if submitted or enabled by the customer.

Amazing Chat: account profile, workspace membership, prompts, messages, files, workspace metadata, assistants, integrations, AI outputs, usage events, comments, permissions, admin settings, connected-service metadata, and content you or your workspace choose to submit.

Meet: account and scheduling details, participant names and emails, calendar metadata, meeting titles, attendance, chat, shared content, recordings, transcripts, summaries, AI notes, action items, follow-up metadata, device/network quality information, and audio, video, or screen-share content when those features are used.

WhatsApp, Instagram, Facebook, and other Meta business interactions: profile name, account handle or phone number, message content, attachments, delivery/read status, conversation metadata, opt-in or opt-out preferences, lead form data, ad interaction data, and permissions granted through Meta business tools.

Integrations and third-party sources: data made available through tools you connect, including calendars, repositories, ticketing systems, chat tools, storage systems, video providers, payment processors, analytics tools, customer systems, and other services authorized by you or your organization.

3. How we use personal data

We use personal data to operate the website, respond to inquiries, provide support, manage sales conversations, create and administer accounts, authenticate users, manage workspaces, provide product features, process payments, deliver professional services, troubleshoot issues, secure our systems, prevent abuse, comply with legal obligations, and maintain records of consent, opt-outs, and deletion requests.

For BugZero, we use submitted reports and diagnostics to capture feedback, reproduce issues, prioritize fixes, support triage, generate issue summaries, recommend next steps, and help customers improve their software.

For Amazing Chat, we use workspace content to provide chat, collaboration, file handling, assistants, integrations, AI responses, search, summaries, automations, and administrative controls.

For Meet, we use meeting data to provide scheduling, calling, collaboration, recording, transcription, summaries, AI notes, action items, follow-ups, support, and quality diagnostics.

We may use aggregated or de-identified information to understand usage, improve reliability, prioritize product development, measure performance, and protect against abuse. We do not use customer content to train general-purpose AI models unless a customer agreement, product setting, or explicit permission allows it.

4. Legal bases and customer responsibilities

Depending on your location and interaction, we process personal data based on consent, performance of a contract or pre-contractual steps, legitimate interests in operating and improving our services, compliance with legal obligations, and protection against fraud, abuse, or security incidents.

Customers that deploy BugZero widgets, invite users to Amazing Chat workspaces, enable integrations, or host Meet sessions are responsible for making sure they have a valid basis to submit personal data to the services.

Meet hosts and workspace administrators who enable recording, transcription, summary, AI note, or similar features must notify participants and obtain any consent required by applicable law, contract, workplace policy, or meeting rule before using those features.

5. AI providers and automated processing

Our products may use AI models, speech services, transcription tools, embeddings, retrieval systems, classification, summarization, code analysis, and workflow automation to provide requested features.

Customer content may be sent to AI model, speech, transcription, hosting, storage, analytics, support, email, payment, security, and integration providers when needed to provide, secure, support, bill, or improve the services.

AI outputs may be incomplete, inaccurate, or unsuitable for your intended use. We process inputs and outputs to provide the service, but customers and users remain responsible for reviewing outputs before relying on them in production, customer-facing communications, regulated decisions, or safety-sensitive workflows.

6. Sharing and processors

We may share personal data with service providers and contractors that help us operate the business, including hosting, databases, infrastructure, security, observability, AI model providers, speech/transcription providers, storage, email, form processing, analytics, advertising, CRM, support, billing, payment, professional advisers, and product integration providers.

We may share data with Meta companies when using WhatsApp, Instagram, Facebook, lead forms, ads, or Meta business tools, and with third-party services that you or your organization connect to our products.

Workspace owners and administrators may access, export, delete, or configure retention for content, members, integrations, meetings, reports, files, transcripts, summaries, and settings inside the workspaces, products, or accounts they control.

We do not sell personal data. We only authorize providers to process data for documented business purposes and subject to confidentiality, service-provider, processor, or data-processing obligations where applicable.

7. WhatsApp, Instagram, and commercial messages

When you message us on WhatsApp, Instagram, Facebook, or another Meta service, you understand that the communication is handled through Meta services. We use those channels for business purposes such as customer support, sales follow-up, product updates, appointment coordination, and responses to your requests.

You can stop marketing or non-essential messages at any time by replying STOP, CANCELAR, UNSUBSCRIBE, or by contacting us at contact@amazing-ai.tools. We may still send transactional, service, security, account, or legal messages when necessary.

8. Cookies, analytics, advertising, and tracking

Our website and products may use cookies, pixels, local storage, logs, and similar technologies for site functionality, authentication, security, analytics, advertising, performance measurement, product diagnostics, and abuse prevention.

9. Retention

Product data retention may depend on the product, customer agreement, workspace settings, admin actions, integration settings, backup cycles, legal requirements, and support needs. BugZero reports, Amazing Chat messages/files, and Meet recordings/transcripts/summaries may be retained until deleted by an authorized user or according to product settings or customer contract.

Commercial conversation records are generally retained for up to 24 months unless a longer period is required for contracts, security, legal compliance, dispute resolution, active customer support, or customer configuration.

10. Data deletion instructions

To request deletion of personal data associated with our website, Meta integrations, BugZero, Amazing Chat, Meet, or another Amazing AI Tools service, email contact@amazing-ai.tools with the subject "Data deletion request". Include the channel used, the relevant email address, account identifier, workspace, product, WhatsApp phone number, Instagram handle, Facebook account identifier, meeting identifier, or other information needed to locate the data.

If you are part of a customer workspace or meeting, we may direct you to the customer or workspace administrator who controls that data. We will process deletion or anonymization unless retention is legally required or necessary for security, fraud prevention, dispute resolution, backup integrity, contract administration, or compliance.

If you remove our app, disconnect an integration, or revoke Meta permissions, you may still need to contact us or your workspace administrator so stored data can be deleted from our systems.

11. Your rights

Depending on your jurisdiction, you may have rights to access, correct, delete, restrict, object to processing, withdraw consent, request portability, opt out of certain sharing or marketing, limit some uses of sensitive information, or lodge a complaint with a data protection authority.

To exercise your rights, contact contact@amazing-ai.tools. We may need to verify your identity and, where data is controlled by a business customer, coordinate the request with that customer.

12. International transfers and security

We may process data in countries other than your country of residence. When required, we use appropriate safeguards for international transfers.

We apply reasonable technical and organizational measures to protect personal data, including access controls, operational safeguards, provider controls, monitoring, and secure development practices. No hosted service, AI workflow, integration, or communication channel can be guaranteed to be completely secure.

Our services are not directed to children. We do not knowingly collect personal data from children under the age required by applicable law.
